Letters, calls and walk-ins: local groups ask for donations in every way, and each one gets answered at a different speed. I would rather put one link on our website. Groups say who they are, what they need and when. I read them together.
Before you share it
Decide what you can give and by when. Put your rules in the form description: who you support, how often and when you decide. Edit the list of what groups can ask for. Set close_at to your review date. If you are the group asking for support, a sponsorship request form may fit better.
While requests come in
Groups fill it in, or hand it to their AI, which might ask: "What is your group, and what do you need?" Then "When do you need it by?" Then "How will the donation be used?" It shows the answers and sends only after a yes. See agent-fillable forms.
After you decide
Download the CSV, sort by needed date and reply to every group yourself, because the form sends no message. Record each gift you give with a donation receipt form, and track promised gifts with a donation pledge form. More ideas are in forms for nonprofits.
Questions
Can I limit how many requests I receive?
Yes. Set max_responses to the number you can review, or close_at to your review date. The form then stops taking requests until you open it for the next round.
Does the form check that a group is a registered charity?
No. It collects what the group says. Check status with the relevant register yourself, and keep official numbers out of this form.
How do I treat every group fairly?
Every group answers the same questions, so you can compare them side by side. Sort the CSV by needed_by and judge each row against the same rules.
