Planning a party alone means guessing. I would rather ask the people coming. This template sends one link to your friends or co-hosts. They tell you which times work, what they like to eat and how they can help. You read the answers as one list.
Who it is for
Anyone organising a birthday, a leaving do, a housewarming or a reunion of friends, who wants input before booking the room.
What each question is for
- Times that work: to pick a slot most people can make.
- Party style, food and drinks: to match the mood and menu to the group.
- Music: so the playlist is not just yours.
- Ways to help: decorations, cooking, setting up and clearing up, so the jobs get shared.
- Extra people and venue ideas: to size the space and find a place.
What a guest's AI would ask
"Which times could you make?" Then "What food would you enjoy?" Then "How could you help on the day?" It shows all the answers and waits for a yes before it sends anything. Read about agent-fillable forms.
Before you use it
Close the form once enough answers are in, then send the real invitation. A birthday party RSVP form counts who is coming. Planning a hen night? Try the bachelorette party planning form. For a hands-on activity, a workshop registration form collects names. More ideas are in forms for events.
Questions
Can I use this to choose the date?
Yes. The times question lets each person tick every slot that works. Count the ticks in the CSV and pick the slot with the most.
How do I keep the guest of honour out of it?
Share the link in a private group chat, never in a public post. Anyone with the link can open the form, so keep it away from the person you are surprising.
Where do I read people's venue ideas?
In the venue_idea and other_ideas columns of the CSV. Read both before you book anything, because guests often know a hall or garden you had not thought of.
