A clipboard by the stage door works until three guitarists want the early slot. Then you are guessing. I would collect sign ups before the night, so the running order is ready when the doors open.
Before the night
Share the link with your mailing list, your venue page and local groups. Performers give a stage name, an act type, a set length and a preferred slot. You see at once whether the evening leans towards music, comedy or poetry. More ideas: forms for events and forms for creators and podcasters.
While sign up is open
Performers list the equipment they need and link to a backing track if they have one. They write the line the host should read when introducing them. Tick boxes say whether the material is their own, whether the set has strong language and whether it is their first time on stage.
A performer's AI might ask "What kind of act are you bringing?" Then "How long is your set?" Then "Which equipment do you need?" It shows every answer and sends only after a yes. See agent-fillable forms.
After sign up closes
Download the CSV, sort by slot and check the equipment list. Warn the audience about strong language if a set needs it. At the door, a sign in sheet shows who turned up. If the night includes a shared supper, add a potluck sign up sheet. To ask a local business to back the night, send a sponsorship request form.
Questions
How do I build the running order?
Download the CSV and sort by preferred_slot, then by act_type, so a quiet poem sits between two loud bands. Add your own order in a new column and share it.
Can I limit how many acts sign up?
Yes. Set max_responses to the number of slots in your evening and close_at to the afternoon of the show. The form then stops taking performers.
How do I know what equipment to set up?
The equipment question is a pick-all list, such as microphone, amp, keyboard and backing track. Filter the CSV for each item and set the stage before doors open.
