Clients send a shoebox of documents and a message that says "same as last year". Then you spend a day finding out what changed. I would rather ask first, in a form, before the paperwork arrives. It works as a tax client intake form.
About the household. The tax year, the household status and the number of dependants. This tells you which return you are preparing.
About income and changes. Income sources, life changes such as a move, a new baby or a sold home, and any letter from a tax office. These are the things that make this year different from the last.
About paperwork and timing. Which documents the client has ready, who prepared last year's return, the date they need it done and their questions. Documents travel through your own secure channel, because this form takes no files.
Who fills it and who reads it
Clients fill it, or hand it to their own AI. You read the CSV. Their AI might ask "Which tax year is this for?" Then "Where did your income come from?" Then "Did anything big change this year?" It shows the answers and sends only after a yes. See agent-fillable forms.
What I left out, and a tip
The form asks for no tax numbers, bank details or government ID numbers. This is a form, not tax advice, so a qualified professional decides what applies to each client. Browse forms for accountants, lawyers and consultants. A translation quote form helps when clients bring documents in another language, and a referral form brings in new clients.
Questions
Does the form ask for tax numbers?
No. It leaves out tax IDs, bank details and government numbers on purpose. A required box reminds clients to send documents and numbers through your own secure channel.
How do I plan my season from the CSV?
Sort by the needed_by and income_sources columns. Clients with several income sources usually need more preparation, so you can reserve time for them first.
What if a client's situation changes after sending?
Each response is a snapshot. Ask the client to send the form again, then use the newest row for that name and ignore the older one.
